Sending group notices

How to compose and send a broadcast email to players in your group outside of any scheduled event.

Notices sends a one-off email to your group outside of any scheduled event — a venue change for the season, a fee reminder, a welcome message to a new batch of players.

Getting there

Open the Dashboard and choose Notices from the sidebar. The page targets your active group (shown at the top). To send to a different group, switch it in the site header and the page reloads for that group.

Who receives it

Every active player in your group who has an email address on file and has not opted out of group emails will receive the message.

If your group has subgroups, two filter columns appear — Include subgroups and Exclude subgroups. Leave Include empty to reach the whole group, or check specific subgroups to narrow the list. Exclude drops those players regardless of what Include says — if a subgroup appears on both sides, exclude wins.

For a ladder league, a division filter works the same way. Both filters combine: a player must pass subgroup and division filters to receive the email.

A live recipient count updates as you adjust the filters. Click View list next to the count to see exactly who is on the list — names and addresses — before you send.

Writing the message

Type your announcement in the Message box. Three placeholders are available and filled in per-recipient at send time:

Placeholder Replaced with
{player_name} The player's name as it appears in your roster
{group_name} Your active group's name
{organizer_name} Your display name

The Send Announcement button stays disabled until the text box has content and there is at least one recipient.

Sending

Press Send Announcement. Each email is queued individually, so large groups send over a short window rather than all at once. Emails include an unsubscribe link where one is available, so players can opt out of future group broadcasts.

What to use instead

For emails tied to a specific scheduled event — filtering by RSVP status, chatting with attendees — use the Announcements tool on the event itself. See Announcements and chat.

Players without an email address on file never appear in the recipient list. Add one on the player's edit dialog. See Players.
